    Ecumen Meadows seeks a HR & Business Office Supervisor to join its team.


    Ecumen Meadows consists of 94 independent living and assisted living rental apartment homes, as well as 14 additional residences for seniors requiring memory care services and is located in Worthington, Minnesota.     This position is responsible for but not limited to accounts payable, accounts receivable, collections and cash flow management, as well as managing workers compensation claims, leave of absences, keeping accurate employee records, and on-boarding and orientation of new employees. The HR & Business Office Supervisor works in accordance with established policies, procedures and/or specific instruction from the site leader.


    Essential job responsibilities include:

    1. Prepares accounts payable invoices for weekly payments and balances weekly batches of invoices for transmission and payment based on appropriate due dates in accordance with Ecumen procedures.

    2. Responsible for billing and collections. Ensures aged receivables are within Ecumen standards.  Deposits are made and posted in a timely manner.  Completes cash recaps for each deposit and reconciles general ledger revenue accounts monthly.

    3. Performs duties related to new resident admissions, including eligibility criteria and insurance, as needed. Ensures all information is verified and entered accurately.

    4. Completes payroll processing accurately and in a timely manner.

    5. May supervise the business office team. Carries out supervisory responsibilities in accordance with Ecumen’s policies and applicable laws including hiring, scheduling, training and delegating work direction. Analyze and organize office operations and procedures to improve efficiency of work flow.

    6. Posts job openings and completes all pre-hire processes, schedules and conducts new hire orientation.

    7. Sets up and maintains personnel files, processing hires, terminations, and status changes.

    8. Administers the Worker’s Compensation processes including reviewing First Report of Injuries and tracking and follow-up of all claims. Consults with site leader or department manager, as needed.

    9. As a member of the leadership team, establishes relationships with residents and families while interacting in a professional manner, assisting them as needed.


    Minimum Required Qualifications:


    • Associate’s degree or equivalent work experience
    • 2+ years office experience
    • Current valid driver’s license and proof of vehicle insurance, if applicable
    • Ability to communicate effectively in both verbal and written formats
    • Ability to efficiently prioritize and multi-task
    • Strong conflict resolution skills
    • Ability to follow all safety rules, regulations, policies and procedures of the facility including but not limited to: Vulnerable Adult and Abuse Policy, HIPAA, Resident’s Bill of Rights, Universal Precaution, AWAIR, OSHA, Right to Know, SDS, ADA, HUD Policy and Procedures, Fair Housing laws and regulations
    • Proficiency with Microsoft Office software (Excel, Outlook, Word)


    Preferred Qualifications:


    • Bachelor’s Degree in Business or related field
    • Previous Human Resources experience
    • Two to three+ years office experience, preferably with Accounts/Payable and Accounts/Receivable knowledge in senior care environment
    • Previous supervisory experience
    • Experience with HRIS software, applicant tracking systems, E-Verify
